Privacy Policy

SquadWorks LLC ("SquadWorks", "we") builds and runs websites and software for small businesses from 322 Houston St, Ste 104, Manhattan, Kansas 66502. This page explains what information we collect, why, and what we do and do not do with it. It covers squadworks.ai, our client portal, and inquiries submitted through websites we build and operate for our clients.

What we collect

When you reach out or fill out our intake. Your name, business name, phone number, email, business address if you share it, details about your business and project, and any files you upload such as photos, logos, and documents.

When you use the client portal. We use your phone number to log you in with a texted code. We keep the reports, requests, project files, and messages you submit there so we can do the work.

When you sign an agreement. Our agreements are signed electronically. We record your typed name, the date and time, and the IP address of the signature, and we keep the signed document. The agreement itself tells you this too.

When you pay us. Payments are processed by Stripe. Your card and bank details go directly to Stripe and never touch our systems. We keep records of invoices and subscriptions: amounts, dates, and payment status.

When you submit an inquiry on a client's website. We build and operate websites for other businesses. If you submit a contact or lead form on one of those sites, your submission goes to that business and passes through systems we run on their behalf. That business is responsible for how it uses your inquiry; we hold it as their service provider and to notify them.

Technical basics. Our sites run on Cloudflare. We use a login cookie to keep you signed into the portal and Cloudflare Turnstile to block bots on our forms. We do not use advertising cookies.

Messages we send

We text and email you things you asked for: login codes, project updates, agreements ready to sign, invoices, and receipts. For project updates, you gave us permission on the intake form. Message frequency varies and message and data rates may apply. Reply STOP to any text to stop receiving texts, or email us and we will turn them off. We keep a log of what we sent and whether it was delivered.

Who handles data for us

A short list of service providers, each used for one job: Cloudflare (hosting and file storage), Stripe (payments), Twilio (text messages), and Resend (email). Each receives only what it needs to do that job.

How long we keep things

Project inquiries and leads: up to 2 years after our last contact, sooner if you ask. Client records, signed agreements, and billing records: for the life of our working relationship and as long as the law requires for business and tax records. Ask us to delete something and we will, wherever a legal obligation does not require us to keep it.

Security

Information travels encrypted, storage is access-controlled and not public, and administrative access requires authentication. No one can promise absolute security, and we do not, but we treat your information like we would want ours treated.

Children

Our services are for businesses and the adults who run them. Nothing we operate is directed at children, and we do not knowingly collect personal information from anyone under 13. If you believe a child has submitted information to us, email us and we will delete it.

California residents

If you live in California, we honor requests to know, correct, or delete your information: email us and we will take care of it. We do not sell or share personal information as those terms are defined in California law.
